About the Role

The Human Resources Coordinator provides administrative support to the HR team - Director, Human Resources and HR Generalists, to include front office operations, process control and file maintenance (electronic and paper.) Serves as first point of contact to visitors, applicants and staff either in person, phone, video, or electronic communications. Provides information and assistance for a broad range of HR related functions. Assists with projects and process as needed, such as scheduling appointments and coordinating events, generating reports, conducting onboarding appointments, data entry and maintenance in various systems. Produces and manages employee IDs and access controls.

Maintenance/Tracking - Responsible for monitoring the tuition assistance program, running and auditing monthly reports, check requests, employee ID badges and parking passes, employee files, electronic PAFs, bi-weekly payroll reports and adjustment sheets, LMS administrator responsibilities and other administrative support to the IPM HR team.

  • Recruitment – Assists with phone screens, Coordinates new hire process, scheduling employees for orientation, working in our talent portal, iCIMS to ensure reference checks are running, completing background checks and drug screening, uploading new hire data from ATS to HRIS, obtaining required documents and verifications.
  • Orientation and Onboarding – Responsible for working with Sr HR Generalist in providing orientation and onboarding for new employees (i.e., scheduling orientation, conducting orientation, arranges office space, etc.)
  • Regulatory – Responsible for ensuring new employee I9 process is in compliance and responsible for follow up and follow through on all compliance hotline calls.
  • Employee Relations and Engagement - Demonstrates the ability to assist employees, management, applicants and visitors in a friendly and courteous manner and answers questions and/or refers to appropriate person as needed.  Policy, procedure and employee handbook interpretation and guidance to staff.
  • Miscellaneous Responsibilities including but are not limited to building reports and sorting data, preparing presentations as needed, pulling payroll and working with the payroll team to process payroll bi-weekly. 
  • Performs other duties as assigned/required
Qualifications

Education : Bachelor’s Degree in business or healthcare related field is required but in lieu of college degree candidate must possess a minimum of 5 years Human Resources experience. High School or GED is required. PHR, SPHR, SHRM-CP, SHRM-SCP OR CHHR certifications preferred.

Work experience : Minimum of 1-3 years’ experience in Human Resources field preferably in a healthcare environment.

Knowledge, Skills & Abilities: Proficiency with MS Office, Excel, Word, PowerPoint to include email, spreadsheets, database entry. Experience with HRIS System(s) desired (e.g. LAWSON). Must possess oral and written communication skills ability to multi-task with accuracy and attention to detail. Working knowledge of employment law (federal, state and local). Requires the ability to work independently under general instructions on a wide variety of special projects, completing assignments within deadlines with a high degree of accuracy.  

Interpersonal Skills : Interpersonal skills to foster a collaborative environment. Promotes mutual respect and professionalism in working relationships. Strong customer relations/customer complaint resolution skills required. Must maintain high level of confidentiality.
