Job Description

Provide administrative support to the Graduate and Professional unit in functional areas including, but not limited to: data entry, assessing aid eligibility, verifying applicant information, student awarding, reviewing student appeals and revision requests, adjusting student awards, providing guidance to aid applicants, assisting with Graduate presentations during Open House and Orientation, approving Americorps vouchers.

Position -Specific Responsibilities/Accountabilities

  • Review and process Americorps vouchers through the Americorps website and coordinate with students' financial aid packages.
  • Review and process Summer Financial Aid Applications and award students based on federal, institutional, and state eligibility.
  • Review and process Teach for America (TFA) awards via DocuSign.
  • Review and process Law School Intersession Financial Aid Applications and award students based on federal, institutional, and state eligibility.
  • Manage scholarship and grant awards for graduate programs and revise awards as requested by various graduate departments.
  • Assist the Scholarship Manager in all aspects of awarding scholarships to eligible students.
  • Review and process graduate and law student financial aid revisions and appeals.
  • Interact with appropriate outside entities to facilitate the student eligibility process.
  • Handle routine financial aid inquiries, drop-in advising questions, status inquiries, and follow-ups by phone, email, and in person. Investigate and resolve student concerns and complaints.
  • Maintain accurate financial aid information in the university's data system (BANNER), which includes entering student budget information, student awards, and placing comments in Banner.
  • Provide clerical support for processing external scholarship checks and awarding scholarships.
  • Review student records to ensure compliance with institutional satisfactory academic progress (SAP) policy.
  • Revise student forms as needed on Adobe Acrobat and Adobe LiveCycle. Review the financial aid website and advise on needed updates, corrections, and improvements.
  • Participate in the development of institutional financial aid policies and procedures that will positively impact the efficiency and quality of service provided.
  • Participate in annual training and professional organizations to keep abreast of new information and program changes to be implemented.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent required. Bachelor's degree preferred. The incumbent will be expected to continue upgrading knowledge, skills, and abilities as needed to keep abreast of regulation/policy changes.
  • Minimum 2 years of experience performing a variety of administrative duties to support a department, school/college, program, or unit.
  • Knowledge of financial aid policies, procedures, and practices is preferred.
  • Demonstrated knowledge in the areas of customer service and modern office practices and procedures; filing systems; telephone and business etiquette; proofreading; strong command of grammar and spelling, letter and report writing, office equipment use, and maintenance.
  • Ability to perform complex and concurrent tasks requiring speed and accuracy, diplomacy, and outstanding customer service.
  • Ability to assess, navigate and research student records on Banner and Etrieve (the university's imaging system) and other federally related websites and portals.
  • Perform office work involving independent judgment and requiring accuracy and speed; devise or adopt office procedures to meet changing organizational needs; make clear, comprehensive reports and keep difficult records; understand, interpret, and apply rules and written directions to specific situations; maintain confidences and confidential information.
  • Demonstrated computer competency with Microsoft Office suite and highly developed organizational and accountability skills.

Salary range

$18.03 - $22.31 Salary commensurate with education and experience.
